A language certificate with a different spelling can lead to questions in a residence permit procedure. A spelling that differs from the passport does not automatically make the certificate unusable. The important issue is whether the identity of the person who took the exam can still be established clearly.

Section 21a NAG requires a generally recognised language diploma for the first applications covered by that provision. The diploma must confirm the required German language skills and may not be more than one year old when submitted. The name and date of birth must therefore also fit the other application documents.

This article deals only with preparation where the language certificate is written differently from the passport or another central document. It explains which questions should be clarified before the first binding step and how to create a clear documentary chain.

Document transliteration and identity together

Place the passport, language certificate and a civil status document side by side. Record the spelling variants and explain which alphabet or official transliteration practice caused them. A certified translation or consular confirmation can provide an additional connection.

Connect the former and current name

Arrange the name change chronologically. Keep the certificate together with a marriage certificate, official name-change decision or another civil status document. The connection must show that the same person took the language examination.

Clarify the difference before submission

Compare the name, date of birth, place of birth, examination date and issuing institution. Ask the examination institution for a correction or confirmation if the documents do not establish the identity clearly. Keep the correspondence with the certificate.

A different spelling is not automatically a problem

Names can be rendered differently in Latin script than in the original script. The order of the given name and family name may also differ between documents. Such a variant is first a question of matching documents and is not by itself proof that another person is involved.

The complete picture matters. The passport, language certificate, birth certificate and, where relevant, the marriage certificate should form a clear connection. If the name and date of birth match or an official document explains the name change, the difference can usually be made understandable.

Compare the language certificate and passport line by line

Start with the complete name on the language certificate. Also record the spelling in the machine-readable zone of the passport if it uses a different order or transliteration. The comparison should not be limited to the first visible name line.

Check the date and place of birth, nationality, examination date, language level and exact name of the issuer. A different name is easier to explain when the other identity details match. If the date or place of birth also differs from another document further clarification is needed.

Document the reason for the name variant

Transliteration from Arabic, Cyrillic or another script can produce several Latin spellings. Record the spelling in the original and the rule or authority that shaped the transfer. A certified translation can explain the form of the name without creating a new identity.

For a name change the chronology matters. The examination date must be connected with the former name and the application with the current name. A marriage certificate, official name-change decision or another civil status document may be needed.

Do not rely only on an oral explanation. A short written note listing the name variants and the related document makes the file understandable to the authority reviewing it later.

Check the formal validity of the language diploma

Section 21a(1) NAG requires a generally recognised language diploma from an institution designated for that purpose. The document must confirm the required level. A course registration or simple attendance confirmation does not answer that question.

Check whether the diploma clearly states the examined person's name, level, examination date, issue date and issuer. If the examination institution corrects the certificate, keep the original version and the written correction together.

The diploma may not be more than one year old when submitted. Coordinate the examination, any correction, translation and application appointment. A certificate that was initially suitable can become too old by the time it is actually submitted.

Organise the document file before the first step

For preparation use four sections. The first contains the passport and current residence documents. The second contains the complete language certificate with any covering letter from the issuer. The third contains documents connecting the names. The fourth contains translations and written explanations.

Add a short table with four columns: document, spelling, fact proved and open point. This shows whether the difference has already been explained or whether a confirmation from the examination institution or an authority is still missing.

When the examination institution must correct the certificate

If the difference is a spelling error, a correction by the examination institution may be the clearest solution. State precisely which entries are wrong or incomplete and which spelling appears in the passport.

Keep the request, response and every new certificate version together. After the correction check the name, date of birth, level, examination date and issuer again. A new version should not change only the name if another identity detail was also copied incorrectly.

If the institution does not change the certificate a clear documentary chain may still be possible. In that case explain the cause with the relevant documents and prepare the complete correspondence for submission.

Frequently asked questions about a language certificate with a name difference

Is a language certificate with a different name automatically invalid?

No. The decisive issue is whether the examined person can be identified clearly through the passport, date of birth and further documents. The reason for the different spelling should be documented in a way that can be followed.

What applies to a different transliteration from the country of origin?

Classify the transliteration using the original name, passport and suitable translations or confirmations. Different Latin spellings can be explainable but must fit the remaining identity details.

Which documents help if the name changed after the examination?
